This guide provides StatStak Labs administrators with a step-by-step guide on how to cancel an event and issue automatic refunds for user events. It details each step, from navigating to the event schedule in the admin portal to confirming the cancellation. Upon cancellation, users are automatically notified and issued refunds, streamlining the process and maintaining customer satisfaction. This guide is essential for ensuring admins can effectively manage event cancellations and is a critical part of the help library for quick reference.
Step-by-step Guide:
1. Open Schedule Management:
Locate the 'Schedule' dashboard in the admin portal and click on its icon to access the full list of upcoming events.
2. Locate the Desired Event:
Find the event you want to cancel by navigating through the months using the arrow icons in the upper right corner, clicking on individual days within the calendar view, or using the search bar.
3. Open Event Details:
Once you have found the event you want to cancel, click on its row to access the individual event details and settings.
4. Choose to Cancel Event:
From the event actions menu, scroll down until you see the 'Cancel event' button. Click the button to initiate the cancellation process.
5. Specify a Cancellation Reason:
After specifying the reason for the cancellation, you'll be asked to select the athlete or user for whom the event is being canceled. Select from the list provided.
💬 Note that this reason will be included in the automated message sent to affected users.
6. User Selection:
If you want to cancel the event only for a specific user, select the intended user from the drop-down menu. After selecting the user, click on the 'Cancel for user' button.
🔔 To cancel the event for multiple specified users, perform these steps for one user at a time.
7. Complete the Process:
If you want to cancel the event for all registered users, leave the 'Select the user to cancel for' section empty and click on the 'Cancel event for all' button.
🚨 When canceling events using the red 'Cancel for everyone' button, all users associated with the event will be automatically refunded the remaining balance not already refunded on their invoices.
8. Complete the Process:
After choosing to cancel the event (either for a specific user or for all users), confirm the cancellation by clicking the 'Execute' button. Users will automatically be notified of the cancellation and receive a refund per the system's configuration.
9. Confirmation Message:
Once the cancellation is successful, a confirmation message will be displayed. Click 'Continue' to return to the admin portal.
By following these steps, administrators can effectively manage event cancellations and ensure that users are promptly notified and refunded. This systematic approach ensures a consistent and reliable experience within the StatStak Labs platform.
