This guide provides a straightforward step-by-step process of how to create a Tryout. Tryouts are not among the event types in the create event editor, so this guide will demonstrate how tryouts can be created and managed by admins. Once complete, export the tryout data to view athletes registration info to manage your events.
Step-by-Step Guide:
1. Create the Tryout:
Navigate to the Schedule in the Admin Portal. This will give you access to view and edit your schedule, and create events including new tryouts.
2. Create Event:
Select Create Event to get started with the tryout creation process.
3. Select Event Type:
As you can see there is not an option for a tryout, so select the Event option to be able to mark the category as a Tryout shown in a couple of steps.
4. Set the Facility, Duration, and Date:
Enter the facility the tryout is in, as well as the duration of the event and date(s) the tryout is on.
5. Enter the Event Name and Category:
Enter the name of your tryout as well as the category. The category section is where you can mark it as a Tryout. To edit your categories, head to Settings > Defaults > Event Categories. Make sure you have a Tryout category before continuing.
6. Add in Trainers Involved in the Tryout:
Select any trainers you wish to be included in this event. This will send a notification to the trainer if you choose to do so when the tryout is created.
7. Add any Athletes Participating:
Add in Athletes to participate in the tryout. Make sure to add at least one user to the tryout in order to export the data. If there are no users in the tryout, you can not export the registration data.
8. Select the Time:
Set the time the tryout will begin. Either use the dropdown menu or the menu on the right side. Make sure to set the time of every event if you are creating multiple at the same time.
9. Complete any other Fields:
Fill in any other fields you wish to complete. Some important ones may include registration questions, event description, and pricing options. Select continue to proceed.
10. Fill in Pricing Information and Publish:
If you haven't already, you must fill in pricing information in order to complete the event creation process. Once complete, publish the event(s) in order to view and edit them on your schedule dashboard.
11. Select the Date, or Search the Name of the Tryout:
In your schedule dashboard, find the tryout you just created to export the registration data.
12. Download the Data:
Select the download icon adjacent to the event name to export the data. This will send an email to you with a CSV file of all the information you need from the tryout.
