How to Monitor RSVPs for Team Events

This guide provides an efficient way to send RSVP links to team members and manage team event attendance. Administrators can manage their team event attendance by identifying their roster players' RSVP responses ahead of each team event. The process involves activating RSVP capabilities, copying and sharing the team event RSVP link, and managing RSVP responses in the scheduling dashboard. This guide ensures that administrators can manage their team schedules effectively and leverage platform functionalities to enhance their experience.

Step-by-Step Guide:

1. Expand Portal Options:

To begin, log into the StatStak Labs platform and expand the portal options from the main dashboard.

2. Open Settings:

Next, from the expanded options, click on 'Settings' to access the configuration settings for your facility.

3. Choose Facility Settings:

Within the settings menu, select 'Facility' under the account settings. This will allow you to manage your facility's location settings.

4. Navigate to Defaults:

In the Facility Settings, navigate to the 'Defaults' section. This is where you can adjust default settings for various functionalities, including event RSVPs.

5. Toggle Team Event RSVP:

Locate the 'Team event rsvp' toggle and switch it to 'Yes' to activate RSVP capabilities for team events.

Click on Yes

6. Open Teams Dashboard:

Go back to the main dashboard and select 'Teams' to open the teams management interface.

Click on Teams

7. Search Teams:

Use the search bar at the top of the Teams dashboard to find the specific team you want to manage RSVPs for.

8. Expand Team Options:

Click on the three dots next to the team name to expand the options menu for that team.

9. Copy RSVP Link:

From the expanded options, select 'RSVP link' to copy the RSVP link for the team event. This link can be shared with team members to manage their attendance.

10. Open Team Messaging:

Click on the 'Message' option from the expanded team options menu to initiate a new team message to share the RSVP link.

11. Choose Messaging Platform:

Select the messaging platform you want to use, either 'Email' or 'Text'. In this example, we choose 'Email'.

12. Enter RSVP Details:

Fill in the details for the RSVP message, including the subject line and body text.

13. Choose Message Recipients:

Select the recipients for the message. The roster accounts who have been added to the team you selected will automatically populate as recipients for the message. To add additional recipients, search for individual users or build a send list based on user types and tags.

14. Send Message:

Once the message is composed and recipients are selected, click 'Send' to dispatch the RSVP message to the chosen recipients.

15. Confirmation Message:

A confirmation message will appear indicating that the RSVP messages have been queued for sending. Click 'Continue' to proceed.

16. Open Facility Schedule:

Return to the main dashboard and select 'Schedule' to view and manage the facility's schedule.

17. Search Events:

In the schedule view, use the search bar to find specific events. This helps in locating events that require RSVP management.

18. Expand Event Details:

Click on the event name to expand its details. This view will show all relevant information about the event, including RSVP status.

19. Monitor RSVP Respondents:

Within the event details, monitor the RSVP respondents to see who has accepted or declined the invitation. This helps in managing attendance effectively.
